USG Services Outage ID:   Alert-508
GCSU received notice late Sunday morning that our Banner instance has been restored by USG Information Technology Services to the backup datacenter at the University of Georgia. Since that time, personnel from both the Registrar’s Office and Information Technology have been testing the environment and everything looks to be in good operational condition.
It appears that PeopleSoft Financials is still down and some portion (but not all) of OneUSGConnect HCM services are online. Backup instances of the financial and human capital management platforms will be brought online at alternate sites – as has been done with Banner.
Please note: As these systems return to service, USG recommends that users take extra steps to clear their cache from previous browser sessions in order to log into the application successfully. For assistance in this, please refer to “Clearing Cache and Cookies in Common Browsers (ESS Job Aid) “:

Significant USG Services Outage ID:   Alert-507
As most of you are likely already aware, the University System of Georgia (USG) is experiencing a critical outage affecting our ERP systems, including financial, HCM, and student information systems. This issue started late Friday afternoon, and the root issue lies with USG’s Storage Area Network (SAN), a Dell product that provides essential storage for both application and data servers. This storage array functions as a single, unified block of storage. When it encounters critical issues, all USG ITS services relying on it can be impacted. It is designed with high availability and has multiple redundant layers in both its hardware and software, and such prolonged disruptions are highly unusual. The last comparable event for ITS was over 15 years ago.
In his latest update, Dr. Tim Chester, Vice Chancellor and Chief Information Officer for the University System of Georgia, reports the following:
“Dell continues to work on this incident, using resources from their R&D team. They believe the root cause is a software bug impacting the core SAN OS, and they are preparing a software fix. At their last report, at approximately 11 a.m. this morning, they reported that they needed another four to six hours to validate their patch and develop a roadmap to resolving the issue and restoring our services.
In the meantime, the ITS and Shared Service Center teams have developed a plan to work today to restore OneUSG Connect, if necessary, from our backup data center at UGA. If necessary, we would implement that plan so that OneUSG Connect would be in production and available by 8 a.m. Sunday morning. Our Georgia Best (Banner) teams are working on a similar plan to have ITS hosted instances of Banner available by 8 a.m. Monday morning. These are contingency plans, and our hope is that Dell will resolve the root cause later today. When that happens, we will restore services as fast as possible.”
I am in direct contact with Dr. Chester and he is aware that we plan to open registration at 7 AM on Monday, October 28th. He is extremely hopeful that this will be resolved later today and that all services will be fully restored in plenty of time for us to resume business as usual before Monday morning.
This is an unfortunate reminder that there are no absolutes when it comes to information technology. At every level, we try to procure quality products, implement reliable solutions and leverage reputable systems. In the end, technology sometimes fails and we have to be well prepared to recover as gracefully as possible with minimal impact to operations.
I continue to monitor the situation and will maintain frequent contact with Dr. Chester. GCSU IT personnel are engaged and stand ready to assist as we can. As significant information becomes available, we will communicate that to the GCSU community. IT has received reports and confirmed an issue with some Jabber clients and their status settings. One of the servers performing this function needs to be rebooted to clear the issue. The server in question will be rebooted today (Wednesday 7/17/2024) between 12 pm to 12:30 pm. There will be a brief disruption to some Jabber clients as this reboot is performed. National Cellular Outage - DUO Information ID:   Alert-476
According to CNBC (https://www.cnbc.com/2024/02/22/cellular-outages-hit-thousands-in-us-and-att-users-most-affected.html?fbclid=IwAR1g9nH6MBS_rWIiHTT-Q7_wra6l_uuZ78jnpYV9SHp4xzc2422NQlOI8eo), there is a national cellular outage that is affecting carriers such as AT&T, Verizon, and T-Mobile. This can impact your ability to receive a DUO push for multi-factor authentication. To help mitigate this and ensure you are able to receive the DUO push, we strongly encourage you to turn on WiFi Calling on your cell phone. This setting allows your phone to use available WiFi access to send/receive phone calls and text messages. Android users will find this setting under "Settings", then "Connections." iPhone users go to "Settings," then "Cellular," then "Wi-Fi Calling." On both devices, toggle the "Wi-Fi Calling" option to "On." Our area may not be impacted, but this is a great practice to remember any time you are in a poor cellular area.

Nationwide Cellular Outage affecting services provided by AT&T, Verizon, and T-Mobile.

We regret to inform you that a nationwide cellular outage is currently affecting services provided by AT&T, Verizon, and T-Mobile. This outage may impact anyone relying on cellular data, including those using MiFi devices, attempting to authenticate on Duo, or simply using a mobile device remotely.
Impact Areas:
• Cellular Data: Users may experience disruptions in mobile data services, including internet access, messaging, and app functionality.
• Duo Authentication: If you rely on Duo for secure access, please be aware that cellular-based authentication may be affected. We recommend using offline codes as an alternative during this outage.
• MiFi Devices: MiFi devices, commonly used for portable internet access, may also be impacted.
Recommended Actions:
1. Use Wi-Fi: Whenever possible, connect to your organization’s wireless network to mitigate the impact of this outage.
2. Offline Duo Codes: If you encounter issues with Duo authentication over cellular data, utilize your offline codes for secure logins.

Grade Entry Temporarily Unavailable Tonight ID:   Alert-408
ITS in Athens informed us late this afternoon that they will take Banner/PAWS down sometime between approximately midnight tonight and 7:00 AM tomorrow for emergency maintenance related to an Oracle security vulnerability. Both the state and USG have mandated that this update be completed immediately to protect the security of our data. We do not have the option to delay until after we have finished grading and end of term processing is complete.
We have asked ITS to begin our maintenance window as late as possible to give you time to finish your grade entry tonight. However, if you are not able to submit your grades before the maintenance window begins, you will need to log in tomorrow morning to complete the process. Banner/PAWS should only be unavailable for a couple of hours, and it is expected to be back up well before the end of the maintenance window at 7:00 AM tomorrow.
Grades will still be due at 9:00 AM.
This maintenance will not affect your access to GeorgiaView.

New Phish Alert tool ID:   Alert-404
Information Technology is replacing the GoSecure IDR phishing alert system with a new product called Phish Alert from KnowBe4. You should notice a button in your Outlook client ribbon (in the upper right), or under the “…” section of the Outlook app on a mobile device once it is installed.
When you submit suspicious emails to the Phish Alert system, the system determines whether it’s Spam, Phishing (or a virus or fraud), etc.
You may begin using Phish Alert once it shows up. Please submit all suspicious emails to this system.
Once Phish Alert is pressed, the email is moved to quarantine (out of your mailbox). It can take a minute or two for the system to render a verdict, and the email is returned when Phish Alert makes its determination.

Many new students and new employees are trying to log in to GC systems, and after they enter their valid user name and password they receive a red error screen that says: We're sorry, access is not allowed because you are not enrolled. Please contact your organization's IT help desk for assistance.
If you're receiving this error message, you are not enrolled in DUO; GC's multi-factor authentication system. To complete your access, you need to navigate to unify.gcsu.edu in a browser. Log in (upper left). Once logged in, located "DUO Enroll" towards the center of your screen. Step through it and follow the instructions on the screen carefully. Once complete you should be able to log in and authenticate successfully.

Student Email Moves to Microsoft 365 ID:   Alert-372
The email migration includes anyone registered for Fall 2020, Spring 2021, Summer 2021 and forward. A copy of the user's Gmail will be moved to Microsoft 365 from July 2 – July 5. On July 6th, you will access your email through Microsoft 365. You can access your email by logging into outlook.com/gcsu.edu with your Unify credentials or by using an email app. Google documents are not included in the migration.
Bobcats email is provided to students during their academic enrollment. The migration will enforce the policy of providing access to bobcats email for two full semesters after you graduate or your last term of enrollment.
No new email will load in Google as of July 2. Bobcats accounts that are not migrating will need to establish a personal email account. Access to Google will continue through September 30th. Users will be able to log in to access previous emails and documents.

SUBJECT: Partial Phone Outage
WHEN: Wednesday, January 6
There will be maintenance on our VoIP phone system, causing a widespread outage of our VoIP phone lines for a 3-4 hour window of time. We are not certain when the actual outage window will be, only that it will occur at some point during the day.
SERVICES IMPACTED:
• Inbound, external phone calls coming to any direct phone extension or to the main switchboard number. Callers will receive either a fast, busy signal or a message stating that the call cannot be completed as dialed. They will not get a voicemail option.
• Voicemail cannot be checked except through Jabber or a VPN connection.
• Phone forwards from your desk phone to an external phone number (home or cell) will not work.
SERVICES THAT WILL WORK:
• You can make internal calls from one extension to another.
• Voicemail can be accessed via Jabber or through a VPN connection.
• Inbound calls can be made to the 1-800 number. We will communicate via the web and via Unify that anyone trying to reach someone at the college can call the 1-800 number, and the switchboard folks will route the call to the appropriate internal phone line.
• Analog phone lines will still function.

All faculty and staff already use DUO regularly when accessing email, OneUSG, etc. Students may not have enrolled. To enroll (grant access) with DUO, please Log In to Unify and select "DUO Enroll" in the center of the screen. Carefully follow the instructions that are provided on the screens. Information Technology (IT) is pleased to announce the launch of our new Serve Helpdesk ticket system through an Information Technology Service Management (ITSM) tool. The service is available today. Your Unify credentials provide access to the system and allow the system to retain your service history. Please use the new system to report any technology needs or report service issues.
IT is implementing this enhancement to support our effort and desire to continue the delivery of high-quality service to you promptly. Using the self-service catalog provides users with the ability to create and submit incident requests quickly. The tool allows you to track your ticket, updates on the status, as well as an estimated resolution timeline. Users will be able to see their service request history.
We hope the new ticket system will be a welcomed tool to assist you in getting your technology needs met quickly. IT will use the system and its reporting features to improve services and expand the knowledge base.

There will be a planned Banner System outage today,Tuesday June 30, 2020, at 3 p.m. This outage is a USG mandatory year-end Banner Database table freeze so they can pull information from our system. CHANGE: The Banner System will be down until Wednesday morning at 8:00 AM, not 5:30 PM on Tuesday as originally planned. This planned outage will affect PAWS and Banner Forms.
Please note, this outage will affect PAWS and BDMS (Xtender) as well.

Adding DUO to PCs with Admin permissions ID:   Alert-307
To address ever-increasing cybersecurity threats, Information Technology technicians will be adding DUO to campus-released PCs where faculty or staff have administrator rights. This upgrade will happen over the next few weeks.
Not every PC is affected. For those that are, you will receive notice from an IT technician a few days before the upgrade will be made. If your machine is one of those receiving the upgrade you’ll notice an additional DUO MFA screen after you enter your user name and password credentials to boot or unlock your machine. This will be the same DUO screen that you see with Outlook, OneDrive, OneUSG, PeopleSoft, etc.

As you may be aware, there were some technical difficulties early this morning that prevented some students from being able to access PAWS to register for classes. We apologize for the disruption and hope that since the outage was brief, all of you who may have experienced issues were able to get registered. We are working with the University System Information Technology Services office to add more resources to our PAWS instance, which we hope will alleviate any further disruption. To accomplish that, we will have them increase the memory and do a quick reboot of the servers around 6 PM tonight (Monday, Oct 21st), causing another short, temporary outage. Although we do not expect further disruptions, we will be proactively watching the system in the morning to make sure everything is running smoothly and will take immediate action if we begin to experience any issues like this morning.

Residential Wireless Network Issue - Resolved ID:   Alert-241
The issue affecting Parkhurst, Foundation and Wells LAN and wireless connectivity this morning was an equipment failure in a fiber switch that connects these buildings back to the Residential router. We have partially bypassed the switches and are going to make provision to completely remove them if needed. We are working with Cisco to determine the issue with the hardware that caused the issue.

We're experiencing a sporadic outage with ThreatTest (the new phishing/fraud tool in Microsoft Outlook). Some have it, and some do not. Information Security and System Administration are working closely with EdgeWave (the provider of ThreatTest) to get the problem resolved as soon as possible.

This morning Tuesday 7/23/2019 the Campus developed a problem with its primary routers. The routers stopped passing traffic causing issues with Internet access, internal access and the phone system. The problem was discovered at around 5:20 am as a report come in from our VoIP phone peer that connection had been lost. The issue progressed across the network at that point. By 7:00 am elements started coming back on line. We continue to diagnose the issue at this time and are looking for elements that are still down. As you are aware, the OneUSG Connect program is approaching another major milestone. Throughout the
month of June, we will be migrating Augusta University to the new OneUSG Connect platform.
As part of this migration, there will be two blackout periods during which the OneUSG Connect payroll application will not be available:
• First Blackout period - June 7 – 11; (Augusta University - June 7 – 16),
• Second Blackout period - June 21 – 24
Affected services include entering time, requesting absences and access to other payroll
information. Employees wishing to access these functions should plan to do so around the blackout
periods. “Manage My Benefits” will remain available during this outage.

While this has been a project for a few weeks, our timetables shifted due to some corruption found within the file system and database. Because of this we have had to restore to a backup from 4am this morning.
What does this mean?
• If you have bookmarked either gcsu.edu or gcsu.edu/login you may need to update your bookmark or you may receive an error
• If you have embedded or linked content (images or files) you may need to update them to display correctly.
• If you made any changes from between 4am and 3:30 your changes may have been overwritten.

Connect Android 8.0 to WIFI ID:   Alert-195
The latest version of Android requires additional steps in order to connect to the wireless network. These are the steps you should use to connect:
Configuration instructions
1. Click "Settings" then select "Wireless & Networks" and "WiFi settings".
2. If WiFi is not enabled, please enable it.
3. Select "GC_Secure".
4. You may now be asked for a password to protect the credential storage on your device. This is a security setting for your device and not your WiFi password. Please enter a memorable password here to continue.
5. For "EAP method" select "PEAP".
6. For "Phase 2 authentication" select "MSCHAPV2".
7. If you are using the Nougat (7) OS and Later on your Android, set "CA Certificate" to "Use system certificates" and "Domain" to "gcsu.edu".
8. Enter your Identity as your username plus @gcsu.edu, e.g. "s10987654@gcsu.edu".
9. Some devices may have an "Anonymous identity" field. Leave this blank.
10. Enter your WiFi password.
11. Touch "Connect".
12. Your device should show "Obtaining IP address" then shortly after "Connected to GC_Secure".
13. IMPORTANT: Press "Cancel" to go back to the previous screen. Do NOT press "Forget" or you will need to enter all the configuration information again.
Your device should now connect automatically to the GC_Secure wireless network whenever it is in range.

This means that you will only be able to view or display information and will not be able to make any changes or updates. Any updates made during the migration will not be converted and will not be available in the new Banner 9 environment. Please plan accordingly.

For the last few weeks hackers have been circulating emails that spoof (imitate) someone on campus. Most often the person being imitated is a department lead. Most (not all) are coming in as "Firstname Lastname

We are pleased to share the issues with lynda.com have been resolved. Information Technology would like to provide an update on the Lynda.com outage experienced on Wednesday and part of Thursday morning. Lynda made some configuration changes on Tuesday evening/ early Wednesday which impacted our access. In working with Lynda, we determined the changes required adjustments in our campus settings. As a result of the changes, users will log in two times: one to access Unify and after selecting the Lynda link. The second login screen is the same authentication screen displayed when accessing other GC Resources. Lynda was not aware this change would impact our campus access and regrets the inconvenience this created for our users.

One of the main network and server rooms on campus lost power as a device that works with the room generator had a problem transferring power back to utility power after a power outage. DUO is required to access OneUSG Connect.
How to enroll in DUO in five steps:
1) Decide the best access for YOU. If you want to use the mobile app, get it set up first. If not, decide what phone numbers you want to use. Where do you use OneUSG Connect? Is most of your access from work and home? Set it up for both numbers. Do you ever have to enter time or approve time while you are on vacation? You may want to have your mobile device set up to ensure access away from campus. You can set up your mobile device as a call only if you don’t want another app on your device.
2) The Google Chrome browser works best.
3) Login into Unify and select the DUO Enroll. You will use your Unify credentials to login.
4) Make your first selection (additional devices will be in step 5) and follow the steps in DUO. You are enrolled.
5) Use the DUO Self-Service tile to set up additional devices. Don’t have time or know what else to set up now? No problem, you can set it up later. The DUO Self-Service tile is on Unify .

Atlanta Cyber Attack Serves as a Reminder ID:   Alert-136
Please remember to be careful with email attachments. An ounce of prevention prevents the loss of data.
News reports emerged over the weekend from Atlanta concerning a ransomware attack that is seriously impacted the city’s ability to offer services. Even the police department has returned to using paper reports and the courts cannot access case records impacting legal proceedings. The same type of attack has happened to Charlotte, NC as well as other cities and counties.
These attacks start with a simple email with an attachment which encrypts all of the user files on local and network drives. The only absolute resolution is to restore all files from a backup.
Protect yourself by never clicking on an email attachment that you were not expecting, is out of the ordinary or is from someone you don’t know. The most successful (damaging) of these emails arrive purporting to be a resume, or an invoice, or a fax/copy from a copier etc.. Virus protection software installed on all university-owned machines is the primary line of defense against such attacks. If you are prompted that the attachment wants to run a program, just say no! This protection is only effective if it is kept up-to-date, but virus protection software alone is not enough to prevent the attacks. If in doubt, don’t click.
If you know the sender, call them to verify that the content is legitimate. Otherwise, if there is doubt, send it to Serve. Don’t click on the URL and don’t open the attachment. To avert a worst case scenario of losing all your files, contact Serve for ways to use your OneDrive to back up your document files. It may not be a seamless process as we prefer, but all users have a OneDrive account with storage.

All 2017 W-2’s have been finalized, and as part of the transition to OneUSG Connect, ALL Cohort 1 W-2s will be available in Employee Self Service (ESS) on Monday, Jan. 22, 2018. A follow up communication will be distributed once those are ready in ESS.
In addition, some Cohort 1 employees may have received an email from adpfeedback@adp.com early Monday morning, Jan. 15, 2018, indicating that their 2017 W-2 is available on the ADP Portal. A copy of this email is included at the bottom of this email.
Those who received this email are Cohort 1 employees that were hired prior to July 1, 2017 and who opted for electronic W-2’s in ADP prior to conversion to OneUSG. This email is not fraudulent but was unexpectedly sent by ADP as we are directing employees to use OneUSG Connect to access W-2 information. We have learned that these employees have the option to retrieve their 2017 W-2 via the ADP Portal. If employees received the email but cannot access ADP Portal, they can reset their passwords by selecting the “Forgot password” link when logging on to the ADP Portal or they can contact the OneUSG Connect Support team for assistance.

This last weekend, we had an equipment failure that affected several services on the Campus and Residential networks. We are seeing this morning an issue with some phones. The phones are having to be reset to get them to function correctly. If you have a phone that is showing only the background image and gives no dial tone, it will need to be reset. USG Multi-Factor Authentication Update ID:   Alert-89
Information Technology (IT) wants to make the campus aware of a memorandum received from Dr. Robert Laurine, USG vice chancellor and CIO requiring the implementation of Multi-Factor Authentication (MFA) for USG Institutions. MFA uses a username and password followed by additional access controls before access is granted to systems. A copy of the memorandum has been added to our intranet
main page.

Sister campuses, the USG and Georgia College have been exploring these products for over a year. We have been proactively evaluating authentication products and methods after we learned some GC credentials had been compromised around December 1. A MFA solution has tentatively been identified and is being tested to ensure it works with our systems.
This week members of IT began sharing with areas on campus and are working with our advisory committees to develop implementation plans. Dr. Orr is working with our administration to acquire a solution to meet this mandate. We anticipate implementation around mid/late spring semester. Certainly more details and project progress will be continually shared over the coming weeks/months.

Their is a new phishing attempt that is being sent to our campus community. The phishing message appears to only have been sent to staff and faculty at Georgia College, but it may have been sent to students as well.
The new phishing attempt displays the Georgia College logo and appears to be coming from the Serve Help desk. The phishing attempt tells users that GC has updated the email system and all users need to update their account. The link takes users to a WebMail login that is branded with GC logo's.

The campus experienced a network failure on September 14th at 9:30 am. The failure affected all inbound and outbound traffic including the VoIP phones. Housing traffic was not affected. The issue was resolved around 10:30 am.
We believe the issue was started by a software malfunction that caused the core routers central processing units (CPU) to spike. When the core routers CPU spiked, the data traffic was dropped which created the network interruption. We were able to reboot the system which reset the operating system and the CPU. Once the system was operating normally, network functionality was restored. We are looking further into the issue in hopes of preventing this again.
We apologize for the disruption of services and will strive to enhance our systems and minimize outages.

Public Safety officials with the City of Milledgeville and Baldwin County are issuing a county wide mandatory curfew for the area. The curfew has been put in place for Milledgeville and Baldwin County from Monday at 6 p.m. to Tuesday 7 a.m. Only emergency personnel and law enforcement officers will be allowed on the roads during this time. Information Technology (IT) has implemented a new line of defense for your inbox: Microsoft’s Advanced Threat Protection (ATP uses global information to identify and eliminate attachments and mask URLs used by hackers. This additional level of protection will help eliminate known scams and phishing messages. All emails sent to your gcsu.edu address will pass through ATP. If you are sending attachments to one another, sending an attachment to yourself or through the copier, you may experience a short delay as these emails are processed by the ATP system. Information Technology wants to share information as it relates to Georgia College and Kaspersky. Recent reports in the news indicate concerns about Kaspersky and their antivirus software. Kaspersky Antivirus is one component of the Ivanti (LANDesk) computer management suite. LANDesk is a resource for USG Institutions through a collaborative system contract so it is in use at many sister institutions as well as Georgia College. We are in contact with the appropriate areas of the USG for information and guidance.
There is no specific cause for concern and no action is required at this time. We have multi-level security systems in place to protect our campus network and actively monitor for any suspicious traffic. To ensure transparency, your Information Technology team wanted to acknowledge these allegations and let you know we are taking appropriate actions. From ADP: There have been reports regarding fraudulent emails that appear to be sent from ADP which may have the following subject line: “Important Notice for ADP Users”. These emails include a malicious link and instruct the recipient to open it. Please do not click on the link.
These emails do not originate from ADP and our analysis has revealed that they may contain an attachment that may be malicious. ADP is addressing this issue diligently with their fraud prevention team and security vendors to identify and contain the source of these emails and will provide updated information as it becomes available.

Hopefully you’ve noticed that emailing viruses and phishing attempts is rather vogue at this time. Frankly from the perspective of the hacker, it’s just too easy and is very lucrative. Expect this to be a trend in the next few years.
When we fall victim to phishing (providing your login credentials to hackers) there are many things that can be done with those credentials. See below for a recent example where someone at Bowie State fell victim to a phishing scam. Hackers many times will then go through the email contact list and send everyone phish emails as well. It’s becoming more and more prevalent that when you fall victim to these you are also loading viruses on your PC; many of these are unseen at that time and won’t be noticed until the hackers activate them. They’re becoming ever nasty by the day. Please know that these are criminals; expect them to behave as such.
